INTRODUCTION AND WHAT WE COLLECT
Welcome to West London Roleplay Community. This Privacy Policy (“Policy”) is a legal agreement between West London Roleplay Community (“WLRPC”, “West London”, “the community”, “us”, “our” or “we”) and you. This policy sets forth our policy with respect to information that is collected from those who have applied to work with us and any other users of the service. Under applicable law, WLRPC is the “data controller” of personal data collected through the service.
The community collects data (“information”, “info” or “personal details”) from users as soon as they register an account with us, although more is collected if and when a user submits an application. The community collects information regarding your identity, including, but not limited to, your full name, date of birth (“DOB”), approximate location and your email address.
Some services in the community also automatically collect information which could be used to identify you when you use them, such as your IP address when you access our website, alongside your Discord ID, Rockstar License Key, Steam ID, Xbox Live ID, Microsoft Account ID, FiveM Forum account username and your TeamSpeak UID.
Upon emailing Recruitment (recruitment@westlondonrpc.co.uk), we collect your email address and may request for you to provide your name and Date of Birth so that we can confirm your identity. This is done in the interest of privacy, so that we do not release any details to anybody that may be attempting to impersonate you. These details are kept solely within the email system and is not stored anywhere else. The details are automatically deleted from the system after two months of your case being resolved.
YOUR CONSENT
By applying to join the community and being successful, you are consenting for us to collect the data specified above, alongside other publicly available information (e.g: IP address). By being a member of WLRPC, you automatically consent to what we do.
If you leave the community, by choice or by force, you will still be assumed as consenting for up to three years. It is necessary for us to hold data for this long, as explained below.
If you decide to withdraw your consent at any time, including in the event of you leaving West London, then you must contact us directly. This can be done by emailing our Recruitment team (recruitment@westlondonrpc.co.uk). You do not need to provide any reasoning behind the withdrawal of your consent. You may be asked to verify your identity if we can’t identify your email address: this will be through the confirmation of your full name and date of birth. If a request is received, we will delete all of your data.
At any time, you can email Recruitment and request to receive all the data we hold on your account.
WHY WE COLLECT YOUR INFORMATION
We collect your information to build a User Profile (“Profile”) of each individual (“player”, “user” or “member”). This profile allows those authorised within the community to manage your experience throughout, slightly prior and post, your membership here. We need the data in order to provide you with the opportunity to join in on certain activities, such as playing on the FiveM server (depending on the acceptance of the terms laid out in the Standard Operating Procedures (“SOPs”)) and to ensure that we only accept people who we feel will be able to meet the standards set out within the SOPs. In addition to this, we retain data to ensure that people who have previously interacted with the community can be recognised if and when they attempt to interact in future.
DISTRIBUTING INFORMATION
We distribute information to people with certain levels of access, defined under our administration. We work with other communities through a centralised method of communication. In most cases, Senior Management and Human Resources/Recruitment Leads are the only ones that can access this method of communication. We only share information that we are confident will assist us in achieving our aims, set out in WHY WE COLLECT YOUR INFORMATION (e.g: ensure that we only accept people who we feel will be able to meet the standards set out within the SOPs).
